FCPlus Settings Roles tab
The Roles tab is located under Settings menu . The tab is used to define the rights of the users within the organization. You can create one or several different roles depending on the needs of your business. By selecting a role new user gets a predefined set of permissions instead of having to grant each permission individually each time. Same user can be assigned several roles at once.
Roles main screen
The Role tab has 3 sections:
- The role list – on the upper left side - where roles can be added, confgiured or removed.
- The user section - on the lower left side – where you can find, add or remove users whom the role is assigned to.
- The permissions section - on the right side – to define role permissions.
Role list
In the Role list, you can find roles that you have within your organization.
The Administrator role is created by default once the organization is added to FCPlus platform. Administrator role permissions cannot be edited, as they are managed on the Fleet Complete side. If you need to make some changes, please contact sales manager.
For other roles created within your organization, you can add permissions and make changes based on your needs.
Users
The User section contains a list of emails that belong to the users in your organization. One user can have a few different roles at the same time.
Permissions section
The Permissions section allows you to select individual permissions, based on modules that are enabled for your organization and restrict user rights for a particular role.
Module permissions: In Module permissions, you can manage access to modules that are active in your organization. For example - Logbook, Vehicles, Trips and Journal etc. Under Module permissions, you can grant access to the entire module or set permissions for some specific functions. You can also allow or disallow access to the user guide.
Adding a new role
To create a new role for users within your organization, please follow the steps below:
- Click on the Add new button.
- Fill in the Role name.
- Copy permissions from – select the role to copy (if needed). You can edit permissions afterwards.
- Default role for new users – tick, if role should be added to each new user by default.
- Assignable by non-admin users –tick, if you want users without admin access to be able to assign the role to other users.
- Save
- Edit permissions, if necessary.
- Choose from the user list users that you want to assign the role to.
- Click the Save below the list of permissions.
Note:On this screenshot, the Booking module is switched on for the role Booking role. Users can pick a vehicle for booking and manage booking trips.
Assign a role to the user
There are two ways to assign a role to the user.
From the Roles tab
- Put a checkmark next to the email address(es) you want to assign the role to.
- Select the role name in the Role list.
- Click on the Save button.
From the People tab
- Go to People tab located in Settings module.
- Click on the user you need to assign to a role.
- Choose the role from Roles section on the right of the screen.
- Click on the Save button.
Combination of roles
There is no need to create a new role for each user, several roles can be assigned to one user based on role permissions needed.
Allowed login period
In this section, you can setup the period, during which the selected role would have access to the FCPlus Platform.
If you put a checkmark On the „On Organisation worktime“ setting, the user would be able to have access only during work hours of your organization.
Data access allowed rolling period
Data access allowed rolling period limits the number of days the users can see the information on the FCPlus platform. This setting will hide older data from users.
