OnDuty/OffDuty driver statuses
System allows using person statuses to monitor when drivers are On Duty or Off Duty for the purpose of calculating their workhours and times dedicated to different tasks (e.g. driving, loading, unloading etc).
To start using driver statuses follow the steps below:
1.1 Ask your sales representative to enable driver statuses feature.
1.2 Once feature is enabled for entire org, individual drivers can be configured to use working statuses.
- From customer UI -> Settings -> People -> select the driver -> on the right side of the screen locate the tickbox ‘Driver Statuses’. 2 basic statuses offered are On Duty and Off Duty -> Select default status to use for the driver.
- When setup is complete – driver will see his/her default status upon logging in to mobile app. Driver will be able to change status by hitting status icon and switching between On Duty and Off Duty as needed.
1.3 Sub-statuses can also be added to main statuses. Fox example if driver is on duty, how much time is spent driving, loading the goods and unloading the goods.
- To set up sub-statuses: Customer UI -> Settings -> Categories -> Driver statuses -> Add new
- On the right side of the screen add the name and external ID of the newly configured sub-status e.g. driving. Then hit ‘Configure’
1.4 Under configuration popup, you hit ‘New’ and you can add the group to the sub-statuses. E.g. OnDuty, and tick ‘Allow only one status to be active at a time’
- Enabling this tickbox means : if you add 3 sub-statuses to the same group, only one status can be selected at the time.
For example: you added Driving, Loading and Unloading sub-statuses. You added them all to group ‘On Duty’ . Driver – when selecting the sub-status - will only be able to select one status at a time. For example – he is on duty and ‘driving’, as soon as stops and he hits status ‘Loading’, previous status is automatically disabled and new - ‘Loading’ status is activated.
1.5 You can add extra sub-statuses without the group. For example Boxes, Pallets. Then Driver can select that he is loading for example and status Boxes. But: without groups – multiple sub-statuses can be selected at once. E.g Driver can hit Loading and select both Boxes and Pallets.
Automatic changes of Driver Duty status.
If driver does not have a vehicle, but off-duty automated change setting is active, then:
- if past duty status change was more than set- limit minutes ago, then set driver off-duty.
- in case worktimes are set - do it only after worktime ends
- if worktime is 00-00, 00-23:59 then consider this also as not set worktime
Reports
2.1Basic driver status change report - shows all drivers with their current statuses e.g. driver 1 is currently On Duty with substatus Driving. Status ON/OFF time and Duration are not populated.
2.2Driver status daily report – shows chronological driver status and substatus change during the day. Each status and each substatus are listed under separate row. NB! if running report for current day – current status duration is calculated from starting point to midnight. E.g. if driver is On Duty since 9am and started driving at 9am and right now its 11am, ‘Driving’ status duration will show time from Status On time till midnight – 15 hours (vs 2 that driver has actually been driving). Same duration will be shown for OnDuty status – 15 hours vs 2 hours.
2.3Driver status report - only driver name and driver id are shown, not clear if report is working.
2.4Duty status period report – shows On Duty durations during the day. Overall hours On Duty, and how many hours/minutes were spent in each of sub-statuses. E.g. overall On Duty 10 hours, Driving 8 hours, loading 1hour, unloading 1 hour. (report is configurable and columns can be added to show how much time driver spent on duty during holidays or evenings).
2.5Duty status report - shows each On Duty status with substatuses duration. Each status is shown in separate row with substatuses being in separate columns under that row. NB! if running report for current day – current status duration is calculated from starting point to midnight. E.g. if driver is on duty and is currently driving and he came On Duty at 9am and started driving at 10am, right now its 11am, On Duty status duration will show 15 hours and ‘Driving’ status duration will show 14 hours (vs 1 hours that driver has actually been driving).
Event rules
3.1 If customer uses person statuses, they can configure some events to automatically adjust driver statuses based on certain conditions (in case when drivers forget to do it) . E.g. if vehicle is driving without driver card inserted i want the driver status to switch to Off Duty or if driver leaves the parking area for longer than 1 minute, he is automatically put On Duty.
To allow events to change driver statuses, please contact your sales representative. They will set next statuses:
- On duty
- Off duty
- Loading
- Driving
- Paused
3.2 The OnDuty/OffDuty statuses are default, but if you want to use Loading, Paused and Driving status, they must be configured in customer UI.
- Settings -> Categories -> Driver Statuses -> add new. (steps to add status are described in section 1.2)
3.3 Once statuses are configured, events can be configured next:
- Settings -> Events -> add new.
- Name your new event and select the Condition (e.g. leaving area for more than 5 minutes)
- Select vehicles (all or individual), time (always, or worktime), and location (e.g. warehouse parking lot)
- Once event is configured, select what should happen once event takes place. E.g ‘Set Driver status On Duty’
Result:Once driver leaves the warehouse parking lot for more than 5 minutes during the organization working hours – his status will be automatically switched to On Duty.

If you wish to Turn On Duty Status off automatically, contact your sales representative to enable it.
