Tasks settings
In this article, we will discuss what we can use from the settings module to create tasks.
Task types
The Task Types can be found under the Settings module. By adding various task types, you can customise the types of service that you provide to your customers . This makes it easier to create new tasks and ensures that each task is appropriately categorized and request more information to be filled that might be valid for your business.
The Task types screen is divided into two parts:
1. On the left side, you can find already created tasks types.
2. On the right side, you can find five different tabs; let's review each of them below:
Configuration: In the Configuration tab, you can set up basic settings to define the characteristics of the task type, for example:
- Name:
- Name (plural)
- External ID
- Select task as Default: This task type will be created by default.
- Has subtasks: Allows task to has subtasks
- Is subtask: Mark newly created task as a subtask
- Allow single active task at a time
- Urgent by default: Make newly created task with this type urgent by default
Fields: Here you can specify what information should be requested when a task of this type is created, as well as select which fields will be required to fill in.
Forms:The forms tab enables you to select the appropriate form associated with a particular task type. Here you can select forms that need to be filled during the execution of the task.You can configure task forms in the Settings module -> Forms tab.
Status flow: In Status flow, you can add and customize task statuses. You can disable In progress / paused statuses for your task or can use more customised option by selecting enable custom status flow.
By selecting "Enable custom status flow," you can define the sequence in which statuses will change depending on the stage of task completion.
Automated actions: Here you can automate actions related to the task, for example:
- Update unfinished task at midnight: You can move task to another day and assigne task to a driver or left in unassigned.
- Send PDF on task change: Here you can configure a pdf that will be sent to a customer in case of changes in the task.
- Custom driver notifications: You can set parameters based on which the driver will receive notifications, for example: Task is assigned, task is removed, task data is updated, task status is updated.
Task forms
Task forms allow you to configure fields necessary for drivers to fill in, considering your company's specifications and business logic.
How to configure a task form?
To add and configure task forms, please follow the steps below:
1. Open the Settings module and click on the Forms tab.
2. Click on Add new button.
3. Add a name for the new task form and click the Save button.
4. Click on the newly created task form and click Add new button to add fields to a form.
Form parameters (on the left):
Form name – add the name of the form Default- will be added to the form automatically Show inline - brings the form fields into the main window of the task Signable - it is possible to add a signature to the form
Roles settings
The Roles tab is located under Settings module . The tab is used to define the rights of the users. You can create one or several different roles with different parameters. Read more about the roles from the article.
In this screenshot, we can see that all three users have the same rights in the Tasks module and its functions. You can restrict the rights of a specific user by unchecking the permission.
Connecting tasks with a customers
If you hold your customers base in FCPlus Customers module, then you can connect tasks to customers during the import.
Add to the import of the task .csv-file additional fields named customerId and/or customerName. The field "customerId" is compared to the customer's field that is set to "ID" in Settings -> Customers. The customer name field is compared to the customer's field set to "Name."

Imported tasks will automatically be attached to the customer with the same ID or name. At least one of them (ID or name) has to match. The customer’s address (if it is previously geocoded) is also set as the task’s address.
Sending SMS about task updates
If you wish to send an SMS about task updates and changes in tasks statuses, please follow the steps below:
1. Open the Settings module and choose the System callbacks tab. 2. Click on Add new button to create a new callback. 3. Fill out the form on the right of the screen. 4. Choose the type HTTP POST with original parameters. 5. Add URL link: https://app.ecofleet.com/seeme/plugins/taskcallbacksms/index.php 6. Add Post params:
- to – defines the send number.
- Template – text that will be sent out, can contain in {} task or customer info that systems fills dynamically for specific task. For example: {taskname}, {driver}, {taskdate}, {tasktime}, {customer.*}, {task.pdf}
- sendCondition – (some checkbox field to signal if sending should be done for specific task – not mandatory)
- Check that the Customer field that you want to use in SMS sending has External IDs filled.
- Check that the Form field that you want to use in SMS sending has External IDs filled.
Sending vehicle map location and skipping to a next task
You might also want to send information about vehicle position to the next task customer that waits in line. For that, there are parameters in Template {map.link} and SkipToNext. Please find an example in the screenshot below:

The log of SMSs sent out to users can be seen in the Messages module.
